Privacy Policy

1. Introduction

IfVoice ("the Service") is designed with user privacy as its top priority. This Privacy Policy explains how we handle information in connection with the Service.

2. Information We Collect

The Service defaults to local processing and generally does not collect personal data. By default, speech recognition runs on your device, and audio data is never sent to our servers. During trial start and license activation or validation, a device identifier may be sent to the license infrastructure to prevent reuse.

If you subscribe to a paid plan, we collect information necessary for payment processing (e.g., email address) through our payment provider. We do not directly store payment details such as credit card numbers.

3. Voice Data Handling

For ordinary hotkey voice input, speech recognition completes on your device and the in-memory audio buffer is discarded after recognition. Meeting recordings saved locally are handled as described in Section 5. Audio data is never sent to our servers. If you optionally enable cloud APIs, only text is sent — never the audio itself — and that text does not pass through our servers (see Section 4).

4. Cloud API Usage

When you optionally use cloud APIs (OpenAI, Anthropic, etc.) for text formatting, meeting summaries, transcript correction, diarization refinement, or similar LLM features, text data is sent directly to each provider using your own API keys (BYOK: Bring Your Own Key). Data does not pass through our servers. You may also send minutes text to a share webhook you configure (for example Slack). Please review each provider's and webhook destination's privacy policy.

5. Meeting Recording Data

All data from the meeting recording feature is stored locally on your device. Recordings, transcriptions, and meeting minutes are retained on your device until you explicitly delete them. We do not access this data.

6. App Permissions

The Service requests the following macOS permissions:

- Microphone: Used for voice input recording. - Accessibility: Used for global hotkey detection and automatic text insertion. - Screen Recording: Used for system audio capture in meeting mode (only when using the meeting recording feature).

These permissions are granted explicitly through macOS system dialogs with your consent.

7. Analytics Data

The Service does not send crash reports or analytics data to remote servers. Any usage aggregates stay on your device and are not transmitted to us.

8. Data Storage and Deletion

Service settings, recordings, and recognition results are primarily stored on your device. Uninstalling the app removes data in the app's data directory, but credentials stored in the macOS Keychain (such as API keys or trial start timestamps) may remain. 9. Third-Party Disclosure

We do not share your personal information with third parties, except as required by law, as needed for payment and license validation, when you enable a cloud API that sends data to a provider you choose, or when you configure a share webhook that receives minutes text.

10. Children's Privacy

The Service is not intended for children under 13. We do not knowingly collect personal information from children under 13.

11. Changes to This Policy

We may update this Policy as needed. Significant changes will be communicated through the Service. The updated Policy becomes effective upon posting on the Service.
